Stage 3 of the system: Follow Up

You already paid for these leads.Stop losing them to slow follow-up.

Every enquiry in your inbox cost you something ad-free SEO effort, content, outreach, referrals, time. Then it sat there for two days. Or got one reply and no follow-up. Or bought once and never heard from you again. We build the CRM and automations that catch what you've already earned: instant responses, patient nurturing, real onboarding, and win-backs that bring customers home.

We'll map exactly where your leads are leaking in writing, in 2 business days

The leak math

Let's do the math on your leak. It's worse than you think.

No scary industry statistics. Just your own numbers, roughly:

01

Count last month's leads.

Enquiries, form fills, quote requests, abandoned carts, demo requests. Say it was 40.

02

Count how many got a reply within an hour.

Be honest. For most businesses it's nearly none. Leads contacted within minutes convert several times better than leads contacted the next day not because of magic, but because your prospect emailed three of your competitors too, and the first credible reply usually wins.

03

Count how many "not yet" leads ever heard from you again.

Most leads aren't ready to buy the week they enquire. They're ready in month two or three. If nothing nurtures them until then, they buy from whoever stayed in touch. Usually not you.

04

Count last year's customers you've contacted this year.

Past customers are the cheapest revenue you'll ever earn they already trust you. Silence is how you donate them to competitors.

Now notice something: fixing all four of those doesn't require a single new lead, a single new ranking, or a single new follower. It's revenue you've already generated currently evaporating between your inbox and your bank account.

The lifecycle

One system, six moments. We automate all of them.

"Marketing automation" sounds abstract. It isn't. It's six specific moments in every customer's life where a timely, well-written message changes the outcome and where a human, realistically, forgets. Here's the map. Everything on this page hangs off it:

  1. 01

    Capture

Every lead lands in one place, nothing lost in inboxes

  2. 02

    Respond

Instant, human-sounding reply minutes, not days

  3. 03

    Nurture

The "not yet" leads hear from you until they're ready

  4. 04

    Onboard

New customers get set up for success, not silence

  5. 05

    Retain

Existing customers get reasons to stay and buy again

  6. 06

    Win Back

Drifting customers get a genuine reason to return

Most businesses do #2 slowly, #4 accidentally, and #3, #5, #6 never. That's the leak.

Deliverables

What we build, moment by moment

01

Capture: one source of truth

The moment

A lead arrives from your website, an ad, a marketplace, a phone call, a DM.

What usually breaks

Leads live in five places an inbox, a spreadsheet, someone's phone, a form tool, a memory. Nobody knows the full picture. Leads silently vanish.

What we build

  • CRM setup or cleanup (HubSpot home ground) every lead, one place, one owner
  • Website forms, chat, and channels wired directly into the CRM zero manual copying
  • Lead source tracking, so you finally know which channel produces buyers, not just clicks
  • Deal stages that match how your sales actually work not a template nobody uses
02

Respond: minutes, not days

The moment

The lead just hit send. Right now, they're the warmest they will ever be.

What usually breaks

"I'll reply after this meeting." The meeting runs long. The lead emails your competitor.

What we build

  • Instant acknowledgment that sounds like a human wrote it because one did, once, carefully
  • Smart routing: the right enquiry to the right person, with the context attached
  • Speed-to-lead alerts so a human follows the automation fast, while the lead is still warm
  • After-hours handling enquiries at 9 PM get a real response, not a Monday surprise
03

Nurture: patience, automated

The moment

The lead said "interesting, but not right now." Most businesses hear that as "no." It means "not yet."

What usually breaks

Nothing exists between "first reply" and "closed." So not-yet leads drift to whoever stays visible.

What we build

  • Nurture sequences that educate and stay useful not "just checking in!" spam
  • Behavior triggers: they revisit your pricing page, you know; they open the case study, sales knows
  • Lead scoring so your team spends time on leads showing buying signals, not gut feel
  • Long-cycle nurturing for considered purchases months of patience, zero manual effort
04

Onboard: the silence after "yes" is where churn is born

The moment

They just bought. They're excited, slightly nervous, and watching how you treat them.

What usually breaks

The sale closes and communication… stops. The customer's first impression as a customer is silence.

What we build

  • Welcome and onboarding sequences that guide new customers to their first win, fast
  • For SaaS: activation flows that walk users to the "aha" moment before the trial dies
  • For services: expectation-setting, next steps, and "here's what happens now" clarity
  • For ecommerce: post-purchase flows order care, usage tips, and the natural next product
05

Retain: your cheapest revenue is the customers you already have

The moment

The customer is happy, quiet… and slowly forgetting you exist.

What usually breaks

All attention goes to new leads while existing customers the easiest sale in your business hear nothing.

What we build

  • Lifecycle campaigns: replenishment, renewals, upgrades, cross-sell timed to behavior
  • For ecommerce: repeat-purchase flows, VIP segments, review requests that actually arrive
  • Health signals: usage drops, engagement fades flagged before the cancellation email
  • Genuinely useful newsletters people don't unsubscribe from
06

Win Back: drifting isn't gone

The moment

They stopped opening, stopped buying, or cancelled. Most businesses write them off. Most of them are winnable.

What usually breaks

No one notices the drift until it's a cancellation and then no one follows up on that either.

What we build

  • Win-back sequences with a real reason to return not a desperate discount blast
  • Abandoned cart recovery (ecommerce routinely among the highest-ROI automations that exist)
  • Cancellation saves and exit feedback loops learn why they left, sometimes keep them
  • Re-engagement plus list hygiene, so your sender reputation stays healthy
Tools & platforms

Our tools and the honest answer about yours

Home ground

HubSpot

Our CRM home base for SaaS and service businesses: CRM setup, workflows, sequences, reporting.

Home ground

Klaviyo

Our home base for ecommerce email and flows.

We go deep on two platforms instead of shallow on twelve. That's a choice.

Already on something else?

Pipedrive, Zoho, Mailchimp, ActiveCampaign, GoHighLevel, a spreadsheet named LEADS_FINAL_v7.xlsx tell us. Often we can work with what you have, and we'll say so. Sometimes migrating genuinely pays for itself, and we'll show the math instead of just insisting. And if your current setup is honestly fine? We'll tell you that too. We sell fixed leaks, not tool changes.

Your CRM, your data, your logins. Everything we build is documented and stays yours including if we part ways. No hostage-taking.

First 30 days

The first 30 days, week by week

Week 1

Audit the leak

We get access, trace the actual path of your last 20–50 leads, and find exactly where they stalled. You get the findings in writing often uncomfortable, always useful.

Week 2

The blueprint

A written plan: which flows we're building, in what order, and what each should recover. Prioritized by payback quickest wins first. You approve before we build.

Week 3

Foundations + the first flow goes live

CRM structured, data cleaned, tracking wired. And the highest-impact automation usually instant lead response or abandoned cart switches on. Not drafted. On.

Week 4

Expand and measure

Next flows ship. The first numbers arrive: response times, recovered carts, revived leads. You get a plain-English report of what turned on and what it did.

We keep building down the priority list, testing subject lines and timing, and reporting monthly in plain English: what ran, what it produced, what we're improving. If a flow underperforms, you read it from us first.

Something is switched on by week 3.

Before / after

The same lead, two different endings

Without the system

Tuesday, 8:47 PM Sarah fills out your quote form. Wednesday, 2:15 PM someone sees it and replies. Sarah, meanwhile, heard back from your competitor at 9:02 PM Tuesday an instant, warm, useful reply. By the time your email arrives, she's booked a call with them. You never even knew you were in a race. Cost of losing Sarah: your average deal value. Frequency: every week.

With the system

Tuesday, 8:47 PM Sarah fills out the form. 8:47 PM she gets a warm, specific reply: what happens next, when she'll hear from a human, one helpful link. 8:48 PM your team gets an alert with her details and context. Wednesday, 9:05 AM a human calls; Sarah already feels handled. She mentions she also enquired elsewhere "but you were the only ones who actually responded."

And the ending nobody sees

Six months later, Sarah gets a genuinely useful check-in automated, but written like a human. She replies with a referral. That's the system compounding.

Honest limits

When this is NOT your fix (we'll tell you, but here's a head start)

If you have almost no leads coming in

Automation multiplies what exists. Multiplying zero is zero. Your bottleneck is Get Found or Get Chosen; start there and come back.

If your offer itself isn't converting

No follow-up sequence rescues a product people don't want at a price they won't pay. That's a positioning problem, and we'll name it in the brief rather than sell you flows.

If you want automation to replace all human contact

It shouldn't, and we won't build it that way. Automation buys speed and consistency; humans still close deals and keep relationships. The system makes your people look faster and more attentive it doesn't delete them.

If you expect it fixed in one week

Foundations take a few weeks to do properly. Fast is week 3, not day 3. Anyone promising day 3 is skipping the part that makes it last.

FAQ

The implementation questions everyone asks

Our CRM data is a complete mess. Is that a problem?

It's the normal starting condition we almost never inherit a clean CRM. Cleanup is part of Week 1–3, and honestly, the mess usually tells us exactly where your leads have been leaking. Come as you are.

Will automated emails make us sound like a robot?

Only if they're written like one. Every sequence is written by a human, in your voice, and read aloud before it ships. The test we use: would you cringe if a customer forwarded this email back to you? If yes, it gets rewritten. Good automation doesn't sound automated it sounds like you, on your best day, replying instantly.

We already have HubSpot / Klaviyo but barely use it. Can you work with that?

That's our most common starting point paying for a powerful tool and using 10% of it. Usually cheaper and faster than starting over: we audit what exists, keep what works, rebuild what doesn't.

How fast do we see results?

Fastest of our four services, honestly. Response-time flows work the day they switch on. Abandoned cart flows typically show recovered revenue within the first weeks. Nurture and retention compound over months. The brief gives you a realistic sequence for your case.

Do you write the emails, or do we?

We do strategy, copy, and build. You approve everything before it goes live, and your edits teach us your voice fast. If you want to write some yourself, great; we'll structure the flows around it.

What happens when the setup is done? Are we locked into a retainer?

No. Some clients take the documented system and run it themselves it's built and documented for exactly that. Most stay for ongoing optimization (testing, new flows, reporting) because the system keeps earning improvements. Both are fine. Your system, your call.

Can this connect to our other tools booking, invoicing, our website, ads?

Almost always yes natively or via middleware like Zapier/Make. Integration mapping is part of the Week 1 audit, and we'll flag anything genuinely incompatible before you commit, not after.

Is this GDPR / privacy compliant?

We build with consent-first practices: proper opt-ins, unsubscribe handling, data hygiene, and sensible retention. We're not your lawyers but we won't build you anything that treats consent as an obstacle.

The leak doesn't pause while you think about it.

Right now today leads are sitting unanswered somewhere in your business. Not-yet buyers are drifting to competitors who stayed in touch. Past customers are being quietly forgotten. None of that requires a decision from you to keep happening. It's the default. The free brief shows you exactly where your follow-up is leaking, what it's roughly costing, and which flow to build first. In writing. In two business days. No call.
